Team Assistant/Researcher – Berlin.

The Team Assistant/Researcher is a support and administration role working at Cogs Agency’s Berlin office. We will be building team of 4 recruitment consultants in the first 12 months of setting up the office and the Team Assistant/Researcher will support this team.
Currently we have a senior consultant based out of our office Mathieu Ritter. The role has a line report to him and will also report into Liam Morgan, Managing Director who is based in London.
Key duties

General Admin and support

  • Office management tasks; ordering office supplies
  • Answering most incoming telephone calls, taking messages and transferring telephone calls internally.
  • Updating candidate CVs, contact information,
  • Managing the candidate process; including chasing candidates for passports and reference visa details. Saving information in appropriate files.
  • Acting as a central ‘hub’ for candidate queries related to contractual issues
  • Helping to arrange interviews and liaising with clients and candidates to facilitate meetings.
  • Supporting Mathieu Ritter. Updating diary and managing database

Sourcing Candidates

  • Advertising job vacancies on behalf of clients; writing compelling, clear job adverts using relevant job boards and social media outlets
  • Using social media and relevant job boards to proactively identify and approach suitable candidates
  • Receiving and reviewing candidate job applications, CVs and portfolios; managing interviews and short-listing candidates for roles
  • Preparing CVs and accurate descriptions of candidate skills to forward to clients

Accounts administration

  • Supporting our accounts team. Dealing with our German Accountants. HPTP
  • Liaising with clients on invoicing and payment queries
  • Assist the Cogs Agency accounts team in completing account opening forms
  • Managing consultant expenses on a monthly basis by collecting receipts’ and entering details onto spreadsheets
  • Track and process supplier invoices (mobile phone bills) sending to HPTP and UK
  • Managing the office petty cash by collating receipts’ into a spreadsheet and sending details to Cogs London account team
  • Liaising with the accounts team where necessary on timesheet and invoicing issues

Key Skills Required for the Role:

  • Excellent communication skills, both written and verbal ( Good level of English)
  • Professional telephone manner
  • Good attention to detail
  • Good organisational skills
  • An ability to prioritise work and complete tasks with quick turnaround times
  • Good maths skills and an ability to solve mathematical problems
  • Good Microsoft Excel skills, including an ability to create spreadsheets and formulas, as well as exporting data from other sources
  • 1-2 years experience in an administration role ideally in a recruitment company
  • Must be eligible to work in Germany
  • Some travel to London may be required
